privacy. This Privacy Policy explains how we collect, use, disclose, and
safeguard your information when you use our platform, including the web
application and macOS desktop application.

INFORMATION WE COLLECT
2.1 Information You Provide Directly
a) Account Information: email address, password (stored in hashed form),
full name, and company name.
b) Company Information: industry, company description, products and services
offered, target audience, and other business context data.
c) Call Data: transcripts of your sales calls, call duration, contact names,
call status, comments, and notes you add to calls.
d) Prospect Information: names and contextual information about prospects
that you enter during calls.
e) Methodology Files: sales methodology documents you upload (JSON format,
up to 25 MB per file).
f) CRM Data: information you authorize us to access from connected CRM
platforms (contacts, companies, deals).
2.2 Information Collected Automatically
a) Authentication Tokens: JSON Web Tokens (JWT) generated upon login,
stored in your browser's local storage.
b) Usage Data: transcription minutes used, advice interactions, call
analytics, and subscription status.
c) Connection Data: IP address, browser type, device information, and
access timestamps for security and operational purposes.
2.3 Information from Third-Party Services
When you connect third-party services, we receive:
a) HubSpot: OAuth access tokens, refresh tokens, contact and company data
as authorized by you.
b) GoHighLevel: OAuth tokens and contact data as authorized by you.
c) SalesForce: OAuth tokens and contact data as authorized by you.
HOW WE USE YOUR INFORMATION
We use the information we collect to:
a) Provide the Service: process your call audio through transcription
services, generate AI-powered sales advice, store and display your
call transcripts, and enable CRM and calendar integrations.
b) Process Calls with AI: your call transcripts, company information, and
prospect context are sent to AI providers (OpenAI and internal LLMs) to generate real-time advice, call analysis, and
summaries.
c) Manage Your Account: authenticate your identity, manage your
subscription, track usage against your plan limits, and communicate
with you about your account.
d) Improve the Service: analyze usage patterns and performance metrics to
enhance the platform's features and reliability.
e) Ensure Security: detect and prevent fraud, unauthorized access, and
other security threats.
f) Comply with Legal Obligations: respond to legal requests and prevent
harm as required by applicable law.
DATA SHARING AND DISCLOSURE
4.1 Third-Party AI and Transcription Providers
To provide the core features of the Service, we transmit your data to:
a) OpenAI — call transcripts, company context, and prospect context are
sent to OpenAI's API to generate sales advice and call analysis. OpenAI's
data usage policies apply to this data. As of the date of this policy,
OpenAI's API data is not used to train their models.
4.2 CRM Providers
When you connect integrations, data flows to and from:
a) HubSpot — call notes and contact information are exchanged as you
direct through the integration.
b) GoHighLevel — call notes and contact information are exchanged as you
direct through the integration.
b) SalesForce — call notes and contact information are exchanged as you
direct through the integration.
4.3 Infrastructure Providers
Your data is hosted on and processed through:
a) Amazon Web Services (AWS) — our servers, databases, and infrastructure
are hosted in the AWS EU Central (eu-central-1) region.
4.4 Other Disclosures
We may disclose your information:
a) To comply with applicable law, regulation, legal process, or
governmental request;
b) To enforce our Terms of Service;
c) To protect the rights, property, or safety of Advicey, our users, or
the public;
d) In connection with a merger, acquisition, or sale of all or a portion
of our assets, in which case you will be notified via email or a
prominent notice on the Service.
We do not sell your personal information to third parties.
DATA STORAGE AND SECURITY
a) Your data is stored in PostgreSQL databases hosted on AWS in the
EU Central (eu-central-1) region.
b) Passwords are hashed using bcrypt before storage. We never store
plaintext passwords.
c) Authentication tokens are generated using industry-standard JWT
(HS256) with defined expiration periods:
- Web access tokens: 60 minutes
- Desktop access tokens: 7 days
- Web refresh tokens: 30 days
- Desktop refresh tokens: 180 days
d) Third-party OAuth tokens (HubSpot, GoHighLevel, SalesForce) are stored
in our database and transmitted over encrypted connections.
e) All data in transit is encrypted using TLS/SSL.
f) We implement reasonable administrative, technical, and physical
security measures to protect your data. However, no method of
transmission over the Internet or electronic storage is 100% secure.
DATA RETENTION
a) Account data is retained for as long as your account is active.
b) Call transcripts and associated data are retained until you delete
them or until your account is terminated.
c) Methodology files are retained until you delete them or until your
account is terminated.
d) Temporary audio files are automatically deleted after processing.
e) Upon account termination, we will delete your personal data within
90 days, except where retention is required by law.
YOUR RIGHTS AND CHOICES
a) Access: You may access your personal data through your account
dashboard, including call transcripts, company information, and
subscription details.
b) Deletion: You may delete individual call transcripts and methodology
files through the Service. You may request full account and data
deletion by contacting us at info@advicey.io.
c) Data Export: You may export call notes to connected CRM systems.
d) Integration Disconnection: You may disconnect third-party
integrations at any time, which will revoke our access to those
third-party services.
e) Account Closure: You may request closure of your account by
contacting us at info@advicey.io.

AssemblyAI, Groq) operate.
c) By using the Service, you consent to the transfer of your data to
these locations.
CHILDREN'S PRIVACY
The Service is not intended for individuals under the age of 18. We do not
knowingly collect personal information from anyone under 18. If we learn
that we have collected personal information from a person under 18, we will
delete that information promptly. If you believe we have collected information

COOKIES AND LOCAL STORAGE
a) The Service uses browser local storage to store authentication tokens
(access tokens and refresh tokens) necessary for maintaining your
session.
b) We do not use tracking cookies or third-party advertising cookies.
c) The macOS desktop application uses a custom URL scheme (advicey://)
for authentication and does not use browser cookies.
DESKTOP APPLICATION PERMISSIONS
The macOS desktop application may request the following system permissions:
a) Microphone Access: Required for capturing audio from your sales calls
for real-time transcription.
b) Screen Recording: Used for capturing system audio during calls.
c) Accessibility Access: Used for application integration features.
You may revoke these permissions at any time through your macOS System
Settings, which may limit the functionality of the desktop application.
